Charter School Community Outreach/Enrollment Specialist

Position Summary:
Responsible for recruiting students and maintaining an effective relationship with parents and surrounding community. This also includes student retention and satisfaction. The Community Outreach/Enrollment Specialist (COES) is responsible for ensuring 100% compliance for receipt and maintenance of required documents and records for all students enrolled at the La Casa de Esperanza Charter School. This position also supports parents and students with the on-boarding process and updating records throughout the year, including sharing and requesting records with other districts and campuses as students enroll or withdraw. In addition the COES will engage in community and school related events to promote and recruit students and increase awareness of the charter school.
Role and Responsibilities
1) Community Outreach/Recruitment
- Create, organize and implement a student recruitment plan in collaboration with the Charter School administration team.
- Visit identified locations and participate in events for recruitment purposes.
- Prepare and create materials needed for recruitment in collaboration with Marketing Coordinator.
- Provide families and interested parties with school tours and information.
- Work with families to help them fill out appropriate enrollment forms and to help them acquire necessary documents.
- Maintain a database of recruitment events.
- Maintain current enrollment numbers.
- Maintain database of students that withdraw and provide parents with exit survey.
2) Retention
- Make phone calls to all parents to follow up on their satisfaction with the school.
- Send out parent retention and satisfactory surveys
- Send out reenrollment forms.
- Maintain all conversations with parents in a google folder.
- When issues arise collaborate with Executive Principal to come up with a solution.
- Serve as a liaison for parents and students to create a positive parent-school-student relationship. Provide parents with community resources for the betterment of the family.
- Assist school administrator with managing of Governance Council and all parent groups and solicit parent volunteers.
- Assist with Coffee with the Principal
- Assist with school wide events such as school concerts, dances, graduation etc.
3) School Related Duties
- Maintain assigned databases, records and files (i.e., student files, Skyward, etc.)
- Start and end of year Skyward.
- Complete and/or prepare required items by due dates; to include, but not limited to general reports and data, invitations, memos, letters, and flyers to inform parents of school activities, participation, and parent information, etc.
- DPI reporting, DPI pupil count, immunization reporting.
- Prepare purchase orders and purchase items as needed.
- Assist the school Executive Principal with preparation of Education Committee meetings, preparing agenda, board meeting dashboards, taking minutes, etc.
- Membership audit.
Qualifications
- Minimum requirement of an Associate degree in related field or 2-year experience in work related field.
- Bilingual (English/Spanish) required.
- Proficiency in Microsoft Office Suite
- Excellent organizational skills and the ability to multitask.
- Ability to demonstrate cultural intelligence with diverse groups and ability to work with individuals from diverse economic backgrounds in a respectful manner.
- Strong communication skills, written and verbal, appropriate to target audiences across multiple functional areas, categories, levels, linguistic, and economic backgrounds; both in a team and individual environment.
- Excellent critical thinking skills: able to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
- Ability to work flexible hours, including infrequent evening and weekends, depending on program needs.
- Transportation, valid Wisconsin Driver’s license, state minimum auto insurance, and must meet La Casa de Esperanza’s driving standards.
